Terms of Service

1. Club overview

Kalogas is an offline esports and gaming club in the United Kingdom. We provide in-person access to gaming facilities, organised community activities, and membership options. These Terms of Service (“Terms”) govern your use of the club, its facilities, our events, and our website at kalogas.org.

2. Applicability of the Terms

By purchasing a single visit or membership, booking a facility or event, or otherwise using the club or website, you agree to these Terms. Please read them carefully. Nothing in these Terms affects your statutory rights as a consumer.

3. Visitor and member eligibility

Membership and unaccompanied visits are generally available to individuals aged 18 or over. Younger players are welcome under the conditions in Section 4.

4. Participation by minors

Participants under 18 may use the club where permitted and, depending on age and activity, may need to be accompanied by a parent or guardian or have written parental or guardian consent. We may set age guidance for particular games or events to reflect content ratings. Parents and guardians are responsible for the conduct and supervision of minors where required.

5. Single visits

A single visit costs £10 and grants one day’s access to the club and its open gaming zones on the day of purchase, subject to availability. Bookable rooms may be used by advance arrangement where free.

6. Weekly memberships

A weekly membership costs £22 and grants access for seven consecutive days from activation, including priority station booking and included entry to member events during that week (except any clearly marked as separate-fee).

7. Monthly memberships

A monthly membership costs £49 and grants access for one calendar month from activation, with wider booking priority and included entry to most member events during that month.

8. Annual memberships

An annual membership costs £490 and grants access for twelve months from activation, with the widest booking priority and included entry to member events across the year (except any clearly marked as separate-fee).
9. Membership activation
Your membership begins on the date selected at purchase, or on your first visit if that is earlier. Access benefits apply from activation.

10. Membership duration

Each membership runs for its stated fixed period — one week, one calendar month, or twelve months — and then ends.

11. Membership renewal

Memberships do not renew automatically. We do not operate an auto-renewal or rolling-payment model. When your membership period ends, it simply expires, and no further payment is taken unless you choose to purchase a new membership. Because there is no automatic renewal, there is no recurring charge to cancel.

12. Membership cancellation

You may stop using your membership at any time; it will still expire at the end of its paid period. For cancellation of online purchases within the statutory cooling-off period, and any refund due, see Sections 19 to 22.

13. Prices

All prices are in pounds sterling (£) and include any applicable taxes. Prices current as of July 2026 are: single visit £10, weekly membership £22, monthly membership £49, annual membership £490. We may change prices from time to time, but changes do not affect a membership you have already purchased for its current period.

14. Payments

Payment is taken at the time of purchase through our payment provider. Card details are handled securely by that provider; we do not store full card details. Access and bookings are confirmed once payment is received.
15. Gaming station reservations
Stations and rooms may be reserved in advance or on arrival, subject to availability. Members receive priority booking windows according to their membership. Please arrive within 15 minutes of your reserved time, or the station may be released to others.

16. Facility access

Access is subject to capacity, availability, and these Terms. Some areas require advance booking or are limited to members, as described on the Gaming Zones & Club Facilities page. We may restrict access to maintain safety or the proper running of the club.

17. Event bookings

Events may be booked through the website or at reception. Some events are open to visitors and some are members-only, as stated on the Community Events & Challenges page. Places are limited and allocated in order of booking.
18. Booking confirmation
Bookings are confirmed once you receive our confirmation. Please keep it, as we may ask to see it on arrival.

19. Rescheduling

Where possible, we will help you move a booking to another available slot. Rescheduling depends on availability and does not extend a membership period.

20. Cancellations

You may cancel a booking by contacting us. For events with a separate fee, cancellation and refund terms will be stated at booking. Your statutory cancellation rights are set out below.

21. Refund conditions

Refunds are provided where required by law and in line with these Terms:

  • Where you exercise a valid statutory right to cancel a distance contract (see Section 23), we refund in accordance with that right.
  • Where we cancel an event or are unable to provide a service you have paid for, we offer a suitable alternative or a refund.
  • Refunds are made using the same payment method where possible.

22. Consumer rights

As a consumer you have rights under the Consumer Rights Act 2015, including that services must be provided with reasonable care and skill. Nothing in these Terms excludes or limits your statutory rights.

23. Cancellation rights for distance contracts

Where you purchase a membership or booking online (a distance contract), you generally have a 14-day cooling-off period under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 during which you may cancel for a refund. Please note:

  • If you ask us to begin providing access before the end of the 14-day period and you then cancel, we may charge for the access already provided up to the point you tell us you are cancelling. If access has been fully provided during that period with your prior agreement, the right to cancel may no longer apply.
  • The right to cancel may not apply to bookings for leisure activities provided on a specific date or during a specific period (for example, a single visit or an event booked for a set date), as permitted under the Regulations.

To cancel, email info@kalogas.org within the cooling-off period. We will confirm and process any refund due without undue delay, and within 14 days of accepting your cancellation. Purchasing or activating a membership does not, by itself, cause you to lose these rights.

24. Club opening hours

The club is normally open Monday to Thursday 12:00–22:00, Friday 12:00–23:00, Saturday 10:00–23:00, and Sunday 10:00–20:00. Hours may vary on UK bank holidays and will be published in advance where they change.

25. Changes to facilities and schedules

We may change, close, or reallocate facilities and adjust the event schedule for operational, maintenance, or safety reasons. Where a change materially affects a service you have paid for, we will offer a suitable alternative or a refund as appropriate.

26. Member responsibilities

Members must use facilities responsibly, follow staff instructions and club rules, respect other members, and not misuse equipment or the premises.

27. Guest responsibilities

Visitors and guests are bound by the same club rules and code of conduct as members while on the premises.

28. Club rules

For everyone’s safety and enjoyment, we operate reasonable club rules covering conduct, use of equipment, food and drink, and personal belongings. These are displayed at the venue and summarised on our website.

29. Code of conduct

Harassment, discrimination, cheating, threatening behaviour, and abusive communication are not permitted. Serious or repeated breaches may result in removal from the club or cancellation of membership, without refund where the breach justifies it.

30. Fair play principles

Play honestly and respectfully. Cheating, exploiting other players, or disrupting sessions undermines the club and is not tolerated.

31. Appropriate use of gaming equipment

Use equipment only for its intended purpose and in line with staff guidance. Do not alter system settings, install unauthorised software, or tamper with hardware.

32. Personal peripherals

You may connect your own peripherals with staff assistance. You are responsible for your own equipment, and we accept no liability for personal peripherals brought on-site.

33. Responsibility for deliberate or negligent damage

You are responsible for damage to club property caused by your deliberate act or negligence, and we may charge the reasonable cost of repair or replacement. Normal wear and tear is not charged.

34. Technical interruptions

We maintain our equipment and network but cannot guarantee uninterrupted service. Occasional technical issues may occur, and we will address them as quickly as reasonably possible.

35. Internet connectivity

We provide wired and wireless connectivity but do not guarantee particular speeds or continuous availability.

36. Personal belongings

You are responsible for your personal belongings. Lockers are available, but we cannot accept responsibility for loss or damage to items brought to the club, except where caused by our negligence.

37. Intellectual property

All content on kalogas.org, including text, logos, and design, belongs to Kalogas or its licensors and may not be copied or reused without permission.

38. Third-party games and services

Games and platforms available at the club are provided by third parties and subject to their own terms and content ratings. We are not responsible for third-party services, and their availability may change.

39. Disclaimer of results

Club access, practice sessions, events, and memberships do not guarantee improved rankings, tournament victories, professional esports careers, prizes, financial benefits, or any specific performance results. Any activity described as a challenge is for community enjoyment only.

40. Website availability

We aim to keep our website available but do not guarantee uninterrupted access and may suspend it for maintenance or other reasons.

41. Limitation of liability

We do not exclude or limit liability where it would be unlawful to do so, including for death or personal injury caused by our negligence, or for fraud. Subject to that, and to your statutory rights, we are not liable for loss that was not reasonably foreseeable or that arises from your own breach of these Terms.

42. Force majeure

We are not responsible for failure or delay caused by events beyond our reasonable control, such as power or network outages, extreme weather, or other emergencies. Where such an event prevents a paid service, we will offer an alternative or refund as appropriate.

43. Governing law and jurisdiction

These Terms are governed by the law of England and Wales, and disputes are subject to the jurisdiction of its courts. If you live in Scotland or Northern Ireland, you may bring proceedings in your local courts under applicable law.

44. Complaints

If you have a complaint, please contact info@kalogas.org. We aim to resolve complaints fairly and promptly. Complaints about personal data are covered by our Privacy Policy and may be raised with the ICO.
